Generic 940 validation guide
How to Validate an EDI 940 Warehouse Shipping Order
Review implemented framing, release, structure, syntax, and data-quality findings with safe source context.
The public validator reports errors and warnings with category, stable code, safe message, and source provenance where appropriate. It validates objective generic X12 and EDI 940 conditions. It does not turn a clean result into an operational, warehouse, retailer, carrier, or partner approval.
What generic validation covers
- X12 framing, control structure, truncation, delimiter structure, and exact ST01=940 identity.
- Tested-release support for generic 004010, 004030, and 005010 authority, including unsupported, missing, or ambiguous release evidence.
- W05 presence, LX and W01 ownership, orphan detail, duplicate identifiers, and bounded transaction structure.
- Quantity/UOM companions, qualified W01 product pairs, G62 date/time syntax, party loops, warehouse packing and routing structures, and wrong-release segments such as TD3 or AT9.
- Generic data-quality warnings, including incomplete product pairs, Raw-only source evidence, and values that cannot be safely promoted into canonical fields.
Representative findings
A missing W05 or orphan W01 can be an error because the documented source structure is incomplete. A quantity without its companion UOM, an incomplete product qualifier/value pair, or Raw-only evidence can produce a warning. Malformed G62 time is reported at its source location. TD3 or AT9 used outside the supported release grammar is not silently reinterpreted. Unsupported releases remain explicit rather than being treated as 004010, 004030, or 005010.
What validation excludes
Generic validation does not certify trading-partner implementation guides, retailer or 3PL requirements, carrier service-level agreements, GS1 certification, fulfillment reconciliation, or cross-document validation against an 850, 945, 856, inventory system, warehouse management system, or proof of delivery. It does not claim partner compliance, EDI certification, warehouse approval, retailer approval, partner acceptance, or operational shipment validity.
Read findings safely
Validation wording avoids echoing arbitrary free-text payloads into messages. The interface renders category, code, severity, message, and bounded source context as text. Summary labels keep W01, SDQ, QTY, W20, and W76 observations separate; W76 remains source-reported transaction-summary evidence, not a verified total. A 940 never becomes proof that goods were picked, shipped, delivered, accepted, or fulfilled.
